Meeting Minutes
Present:
Apologies: 1. Welcome & Introductions1.1 The meeting was opened, chaired by CW, and Ronald Mountain was welcomed. 2.Presentation by Ronald Mountain, Coventry University Centre for Disaster Management2.1 Ronald Mountain gave a presentation on business and service continuity planning for libraries and archives, and circulated two hand-outs relating to his presentation. CW thanked Ronald Mountain for his presentation, which had been very timely in the light of the DMG's ongoing work priority work in business and service continuity planning. 3. Minutes of the meeting held 26 October 20043.1 The minutes of the meeting held on Tuesday 26 October 2004 were accepted as a true record. 3.2 CW recorded thanks to Catherine Harpham of Imperial College London who had taken the minutes of the last meeting. 4. Matters arising from the minutes of the meeting held 26 October 2004
4.1 4.1 From item 5.2 in the previous minutes, it was recorded that the Powerpoint slides from the training events held in 2003/2004 had not yet been received for inclusion on the DMG pages of the M25 Consortium website. GP agreed to progress this once the slides had been received.
4.2 CW would prepare new content, including FAQs, regarding the Mutual Support Agreement, for inclusion on the M25 pages. 5. Strategic Planning within the M25 Consortium5.1 The M25 DMG contribution to the M25 Consortium Development Plan 2002-03 - 2005-06 was noted as a continuing reminder of priority work on behalf of Consortium members. 5.2 CW reported that she would submit on behalf of the M25 DMG an update on recent work to the next Steering Group meeting, to take place on 10 March 2005. She would circulate this report in due course. 6. Exchange of Experience session for disaster control plan representatives held 11 November 20046.1 CW reported on the Exchange of Experience session for disaster planning representatives which had been held on 11 November 2004. This session had been well-attended, with approximately 20 representatives present. Amongst those present there had been numerous new representatives, which emphasised the need for regular events of this kind.
6.2 Following presentations on the enhanced Mutual Support Agreement and the new content for the Disaster Control Plan template, there had been a stimulating discussion on issues of current concern to disaster planning representatives. A key issue which had been confirmed of current and pressing interest was the interface between institutional and library disaster plans, how these plans might be developed in tandem and highlighting complementary and mutual concerns. It was agreed that this issue should be pursued as the topic for a seminar to be held in conjunction with CPD 25 and that this would be discussed further at the next DMG meeting. 6.3 CW thanked DMG members who had attended the event for their contributions to a successful discussion, and, in particular, GP, who had led the presentation and discussion on the new content for the Disaster Control Plan template. 7. Training events in conjunction with CD 25 2004-20057.1 In the light of the discussion under 6.2 above, it was agreed to pursue a seminar on the institutional and library disaster plans as the priority training event for 2004-2005. 8. Consortial disaster recovery contracts8.1 CW reported that she had made a presentation to the M25 Consortium Steering Group at their last meeting on 7 December 2004. At this meeting, she had received the endorsement of the Steering Group to invite estimates and expressions of interest from disaster recovery suppliers in providing a consortial contract at a preferential rate for M25 Consortium members.
8.2 DMG members then discussed the consortial deal which had recently been negotiated by ALM London with one disaster recovery supplier. Having considered the terms of this deal, DMG members were minded to recommend to the Steering Group that M25 Consortium members should be encouraged to take advantage of this opportunity, and that no further effort should be directed towards achieving a separate deal for M25 Consortium members. CW would bring this recommendation to the Steering Group at its next meeting on 7 March 2005. 9. Review of the M25 Disaster Management Group membership
9.1 It was agreed that, with two recent resignations, further expressions of interest should be sought from colleagues who would be interested in active participation in the DMG. CW would draft an email to this effect and circulate this to DMG members for comment. 10. Any other business
10.1 In the light of the presentation by Ronald Mountain, it was agreed that the DMG should strongly consider the inclusion of further enhanced content on business and service continuity planning in the Disaster Control Plan template, rather than seek to create an entirely new template on this subject. This matter would be considered further by the Sub-Group at its next meeting on 11 February 2005, and again at the next DMG meeting.
10.2 It was further agreed that insurance of collections and risk assessment should be placed as major agenda items for discussion at the next DMG meeting.
10.3 It was further agreed that the next meeting would concentrate on DMG business, and that consideration would be given to having a speaker at a later DMG meeting. 11. Date of next meeting11.1 It was agreed that the next meeting would be held on Tuesday 15 March 2005, at 14h30 at SOAS. |
