Meeting Minutes

Notes of the meeting held at Central Saint Martins College of Art & Design

1. Minutes of the last meeting and matters arising

Pat Christie reported that she had emailed the M25 Systems Team to enquire about the possibility of breaking down the term 'arts' within the M25 subject listing. It appears that work has already taken place on revising the subject list and that we need to wait until an invitation to 'sign-up' to this new list is circulated to members.

Doug Dodds reported that the draft terms of reference had been approved by the M25 Steering Group. Pat Christie will forward these to the Systems Team so that they can be added to our web pages. Action: PC

2. Disaster Planning

Glyn Price outlined the work of the M25 Disaster Management Group and circulated a set of background papers to aid discussion on setting up a Mutual Subject Support Agreement. It was noted that all Consortium Members have signed the M25 Mutual Support Agreement so a basic level of support is already in place. The subject agreement extends this support for a subject community by enabling access to additional services. The Mutual Subject Support Agreement for Education was examined as a possible model. Crispin Partridge will send Pat Christie a list of services offered as part of this Mutual Subject Support Agreement so that this can be circulated to the working group. Action: CP

It was agreed in principle that a mutual subject support agreement for the creative arts was highly desirable. However, a number of concerns were raised, including whether the 'creative arts' was too broad as a subject area, the role of non-HEFCE funded institutions within the Scheme, and whether it might be more appropriate to have an enhanced global agreement rather than several subject agreements. It was also agreed that wider consultation was necessary so views will now be sought via the mailing list. Action: DD and PC

It was noted that approval must be sought from the heads of service of the participating institutions. Members will discuss this proposal with their departmental management and consider what level of support they would be prepared to offer if the scheme was to be implemented. Action: All

Subject to the concept of a Mutual Subject Support Agreement in the Creative Arts being approved, a co-ordinator would need to be appointed on behalf of the subject area and participating institutions would need to nominate a local representative. These people would be responsible for drafting and overseeing the agreement. James Anthony offered to ask Ruth Dar if she would act as the co-ordinator. Action: JA

3. Collection Mapping

Arlis.net has now been launched and was praised by the working group. It contains a directory of art, architecture and design resources plus a periodicals database. The directory of resources currently functions as a finding tool for locating collections with particular subject strengths but also could be used to review the potential for collaborative purchasing and retention policies. It was noted that the ARLIS National Co-Ordination Committee and various museum libraries in the London area are considering this matter.

4. Committee Business

The M25 Steering Group confirmed at its last meeting that subject groupings were appropriate within the Consortium and it encouraged the Creative Arts Working Group to continue as a group.

An action plan for the group was discussed and the following actions were identified for 2003/2004:

  • Work with arlis.net to ensure the directory entries for M25 Consortium libraries are accurate
  • Investigate the feasibility for collaborative purchasing and retention within the creative arts
  • Consider the appropriateness of a Mutual Subject Support Agreement for the Creative Arts, and collaborate with the Disaster Management Group as appropriate
  • Organise an exchange of experience session(s) for librarians working within the creative arts in collaboration with the CPD25 Group

Judith Preece agreed to lead the planning for an 'exchange of experience' session. Action: JP

It was noted that the Working Group could ask the M25 Steering Group for resources to support this action plan if it was deemed necessary.
